TERMS & CONDITIONS FOR LA POSTE DES GARDES

DEFINITIONS

  • The Owner: Ms Louise Glynne-Walton
  • The Client(s): all persons named on the booking form, including those who are added or substituted with the owner's permission at a later date.
  • The Property: the house advertised as La Poste des Gardes in 86460 Availles-Limouzine, France.
  • Payment: receipt of cleared funds.
  • Party Leader: name of person making the booking.

BOOKING & PAYMENT

  • The booking is confirmed on payment of a booking deposit, which is 25% of the total amount due (total rental cost plus security deposit of £300).
  • If the booking is made more than eight (8) weeks before the arrival date, the balance of 75% of the total amount owing (total rental cost plus security deposit of £300) is due eight (8) weeks before arrival.
  • If the booking is made within eight (8) weeks of the arrival date, the whole of the rental payment and the security deposit of £300 are due immediately.
  • When the first payment is received, a binding contract is formed between the client and the owner.
  • Unless otherwise stated the rental price includes rates, insurance of the buildings and grounds and water.
  • Logs for the wood burning stove are not included in the rental price and should be sourced by the client.
  • On arrival there will be one full gas bottle and one part-used bottle. Should both bottles be fully used, the cost of one replacement bottle and all subsequent replacements will be deducted from the security deposit.
  • During all lets an allowance of 50kWh of electricity usage per week is included in the rental price. All electricity usage beyond 50kWh per week will be charged to the client at cost and deducted from the security deposit. The meter will be read on arrival and on departure.
  • The house is equipped with full electric central heating.
  • If the balance of the rental cost and the security deposit is not received by the due date (eight weeks before arrival), the booking will be cancelled and the booking deposit will not be refunded.

SECURITY DEPOSIT

  • A security deposit of £300 is required to cover both the cost of any damage or breakage to the property or its contents and to cover the event that the property is not left clean and tidy at the end of the rental period.
  • The security deposit (less the metered cost of electricity used during the rental period in excess of 50kWh per week) will be returned to the client within fourteen (14) days of departure provided the conditions under “RETURN OF SECURITY DEPOSIT“ are adhered to. This gives the caretakers sufficient time to complete the changeover and send their report to the owner.
  • The security deposit will not be returned until the caretakers have inspected the property and completed the changeover.
  • The cost of any damage caused by the client will be deducted from the security deposit and the balance returned to the client. If the security deposit alone is insufficient to cover the cost of such damage, the owner reserves the right to recover additional costs from the client.
  • Security deposits will always be refunded to the party leader.
  • If there is a dispute over damage, or the owner is awaiting the final cost of repair or replacement, the owner reserves the right to retain the security deposit for longer than two (2) weeks.

RETURN OF SECURITY DEPOSIT

The security deposit is fully refundable (less the metered cost of electricity used during the rental period in excess of 50kWh per week) within fourteen (14) days of departure, provided the following conditions are met. 

  • All procedures listed under "BEFORE LEAVING" in the property brochure at the house have been carried out. Please contact us if you wish to see this before proceeding with your booking.
  • No damage is done to the property or its contents, beyond what the caretakers consider to be normal wear and tear.
  • The property and all its equipment and contents are left clean and tidy at the end of the rental period. If the caretakers find that excessive cleaning is necessary, a cleaning charge of £25 per hour will be deducted from the security deposit.
  • No charges are incurred due to illegal activity, pets or collection of rents or services rendered during the stay.
  • All debris, rubbish and discards are placed in the rubbish bags provided and left in the bins by the bridge, and soiled dishes/cutlery/kitchen utensils are cleaned and put away.
  • All glass rubbish, including bottles and jars, is removed from the property.
  • The fridge and freezer are emptied and left clean with doors closed firmly.
  • The hob, grill, oven and all associated fittings are cleaned thoroughly.
  • The wood burning stove is completely extinguished and cleaned out.
  • Any equipment or contents, that have been moved, are replaced in their original location as at the start of the rental period.
  • Both front door keys are left in the key safe with the code jumbled and the property is left locked and windows closed. If either of these keys is not returned or it is found that any of the five keys are missing from the key box in the house, the cost of replacing locks will be deducted from the security deposit.
  • No linens/towels are lost or damaged.
  • No early arrival or late departure (unless previously agreed).
  • The client is not evicted by the owner (or representative of the owner) or the local law enforcement.

THE PROPERTY

  • The property is equipped with crockery, cutlery, glasses, cookware, bed linen, bed sheets, bath towels, hand towels, kitchen linens and cleaning equipment. No towels may be taken off the property.
  • The property will be cleaned thoroughly prior to the client’s arrival but a house keeping service will not be provided during the rental period. It is expected that the client will maintain the property to a reasonable level of cleanliness throughout their stay.
  • A laundry service is not provided and it is expected that the client will launder bed linen, bed sheets, bath towels, hand towels and kitchen linens when necessary.
  • This property requires a one (1) week minimum stay.
  • The maximum number of persons staying at the property must not exceed six (6), unless written prior approval has been given by the owner.
  • For insurance purposes the names and status (adult/child) of all members of the party must be given on the booking form. No other persons, bar those named on the booking form, are permitted to stay overnight in the property, except by prior agreement with the owner.
  • Children of all ages are welcome but their ages must be specified when booking. ALL CHILDREN REQUIRE ADULT SUPERVISION AT ALL TIMES. The adults in the party agree to accept full responsibility for the safety of all children in the party during their stay.

PETS

  • Pets are only allowed at the property with the express consent of the owner.
  • Pets are limited to two well-behaved dogs.
  • The owner reserves the right to charge a supplement, increase the security deposit and apply a final cleaning charge if guests wish to bring pets. 
  • The client must inform the owner of the number, breed and ages of dogs before making the booking.
  • Pets are not to be left on the property unattended at any time and pets are not allowed on any furniture at all, including sofas, chairs and beds.
  • Pets must not be allowed to trail muddy feet onto any floor coverings - muddy feet must be cleaned before entering the house.
  • All pet waste around the outside of the house must be disposed of in an appropriate manner and not left on the property.
  • If the client does not inform the owner of pets, the owner reserves the right to request that the pet be placed in kennels for the duration of the rental, to have the client removed from the property without refund or compensation and to retain the entire security deposit.

EXIT CLEANING

  • It is a requirement that the house be left in a clean and tidy state on departure.
  • We expect all our guests to take good care of our property and its contents. We expect all our guests to keep our soft furnishings clean, wipe up any spills as they occur, remove oven/hob spills before they become baked on and carry out the normal daily chores, such as tidying the rooms, washing up and putting away crockery/cutlery/cookware/utensils, cleaning the bathroom and removing the rubbish.
  • If our caretakers find that additional cleaning is necessary, the cost will be deducted from your deposit at a rate of £25 per hour.
  • You will be expected to perform the normal cleaning tasks before departure to ensure the property is left in the same condition that you found it on arrival. Cleaning equipment and products are provided. You will be expected, as a minimum, to:
    • Strip all used beds and leave the bedding to be washed on the bed.
    • Wash, dry, and put away all kitchen items to the location in which they were found.
    • Dispose of your rubbish and recycling (responsibly please).
    • Clean the barbecue, grill, and tools and empty the barbeque.
    • Clean the kitchen and bathroom surfaces, bath, basins, lavatories and shower cubicles.
    • Leave all used towels in the bath.
    • Clean the oven, hob, shelves, and grill pan.
    • Clean the fridge, freezer, microwave, toaster and coffee maker thoroughly.
    • Return any item that has been moved to its original place. Furniture may not be moved under any circumstances to avoid damage to the furniture and injury to the guests.
    • Hoover all the floors and rugs thoroughly and carefully.
    • Clean out the wood burning stove.

ARRIVAL/DEPARTURE TIMES

  • Check-in time is after 16.00 CST.
  • Check-out time is by 10.00 CST.
  • Please contact the owner if an early check-in or late check-out is required.

CLIENTS' RESPONSIBILITIES

  • The client must keep the property and all furniture, fittings, soft furnishings, facilities and equipment in the same state of repair and condition as at the start of the rental period and in the same state of cleanliness in which they were found.
  • The client and members of the party must not stand on any of the furniture at the property. If it is found that furniture has been damaged due to mistreatment in this way, the full cost of replacement will be deducted from the security deposit.
  • The owner reserves the right to deduct from the security deposit the cost of any additional cleaning required after departure which is deemed by the caretakers to be in excess of what is normally expected. This will be charged at the rate of twenty five (25) pounds per hour and deducted from the security deposit.
  • The client must report any breakages or breakdowns in the equipment or appliances in the property to the caretakers immediately so that arrangements for repair and/or replacement may be made as soon as possible.
  • The property itself is a NON SMOKING property but the client is at liberty to smoke on the river terrace or outside as long as all debris is disposed of safely and not left anywhere on the property.
  • Any booking obtained under false pretence is subject to forfeiture of the booking deposit and/or rental money, and the party will not be permitted to check in.
  • It is essential that the client takes out travel insurance for the duration of their stay from the time the booking is confirmed. This provides protection in the event that the client needs to cancel their holiday booking within eight (8) weeks of arrival.

RIVER TERRACE SAFETY

  • The river terrace is reached from the middle floor and has a one meter high solid wall around its perimeter. All terraces can be dangerous and safety is of the utmost importance. All children must be supervised by an adult at all times when on the river terrace. The client and all adult members of the party take full responsibility for the safety of all party members on the river terrace.
  • Children must not be allowed to wander unaccompanied outside the property as the doors open directly onto the street.

SECURITY

  • Valuables are left at the property at the client’s own risk therefore the owner is not responsible for any loss and no refund will be given. It is the client’s responsibility to ensure that all doors and windows are locked when leaving the property.

OWNER'S LIABILITY

  • The owner cannot be held responsible for noise or disturbance originating from outside the property boundaries.
  • The owner cannot be held responsible for any loss, breach or delay due to any cause beyond reasonable control including, though not limited to, an Act of God, explosion, fire, tempest, accident, war, threat of war, civil disturbance, acts, restrictions, regulations, bye-laws, governmental measures, industrial action, disputes or adverse weather conditions.
  • The owner cannot be held responsible for events out of their control, such as bad weather, travel delays or breakdown of domestic equipment.
  • The owner cannot be held responsible for any injury, loss or damage to the clients personally, their belongings or their vehicles when using the accommodation, the grounds or the equipment. The use of these amenities is entirely at the clients’ own risk.
  • Please remember this is a rural area and the Owners cannot be held responsible for any indigenous animals or insects that may be present.
  • Under no circumstances shall the Owners’ liability to the Client exceed the amount paid to the Owners for the rental period.

CANCELLATION

  • Any cancellation by the client must be in writing and the effective date of cancellation is the date the owner receives written notification.
  • If the client cancels more than eight (8) weeks prior to arrival, the client forfeits the entire booking deposit.
  • If the client cancels within eight (8) weeks of arrival or the booking is cancelled due to the client’s non-payment, the owner shall be entitled to the full cost of the holiday from the client.
  • Late arrival or early departure does not warrant any refund of rent.
  • Should the property become unavailable due to any cause beyond the owner’s control, a full refund of all monies received will be made within fourteen (14) days.

PROPERTY-SPECIFIC CONDITIONS

  • Parking by the client is limited to two (2) vehicles. Vehicles are to be parked in the designated parking areas only (paved parking area at the side of the house or communal parking in the town square). Any illegally parked cars are subject to towing; applicable fines/towing fees are the sole responsibility of the vehicle owner.
  • The wood burning stove is designed to burn logs only. No other type of fuel may be burned in it, nor should anything other than logs be burned in it. It should not be left alight when vacating the property and must be fully extinguished.
  • Only dry seasoned logs suitable for wood burning stoves should be used in the wood burning stove. Burning unseasoned logs causes the formation of tar deposits on the flue exit and could result in noxious fumes or a flue fire.
  • The wood burning stove in the fireplace of the first floor bedroom is for decorative purposes only and must not be lit under any circumstances.
    • The Sky box in the séjour is equipped with a Sky viewing card specific to the box. Under NO circumstances must this card be removed from the box as the card may be damaged and service may be lost.
    • Under no circumstances may any of the appliances be tampered with other than what constitutes normal operation. If the client and members of the party experience problems, the Welcome Brochure should be consulted first. If this does not rectify the problem, the caretakers should be called. No repairs should be attempted by the client or any member of the party. Any damage resulting from this will be deducted from the security deposit.
  • The client is asked to consider the environment and save water and energy where possible. Taps should be turned off firmly and lights/appliances that are not being used should be turned off.
  • The two doors on the ground floor open directly onto the street. The client and all members of the party must be aware of this and supervise children at all times.
  • Oils, fats and solids must not be poured down the sinks as this causes blockages that will impact on your enjoyment of the property. The cost of unblocking will be deducted from the security deposit.
  • Televisions, satellite receivers, DVD players, VHS players, stereo system, Livebox router and games console MAY NOT be disconnected and moved to other locations under any circumstances.
  • No naked flames such as candles and lanterns are permitted anywhere inside the house in order to comply with insurance requirements. Candles and lanterns are allowed on the river terrace but must never be left unattended and must be fully extinguished when the terrace is vacated.

 

WRITTEN EXCEPTIONS

Any exceptions to the above mentioned policies must be approved in writing in advance.

  • Any booking obtained under false pretence is subject to forfeiture of the booking deposit and/or rental money, and the party will not be permitted to check in.
  • It is essential that the client takes out travel insurance for the duration of their stay from the time the booking is confirmed. This provides protection in the event that the client needs to cancel their holiday booking within eight (8) weeks of arrival.

GARDEN SAFETY 

  • Children must not be allowed to wander unaccompanied in the grounds of the property. There is access from the rear garden to the road and parents must supervise them to ensure they do not wander off the property unaccompanied.
  • Children should not be allowed to enter any outbuildings in the garden as these may contain gardening and other tools.

SECURITY 

  • Valuables are left at the property at the client’s own risk therefore the owner is not responsible for any loss and no refund will be given. It is the client’s responsibility to ensure that all doors and windows are locked when leaving the property.

OWNER'S LIABILITY 

 The owner cannot be held responsible for noise or disturbance originating from outside the property boundaries.

  • The owner cannot be held responsible for any loss, breach or delay due to any cause beyond reasonable control including, though not limited to, an Act of God, explosion, fire, tempest, accident, war, threat of war, civil disturbance, acts, restrictions, regulations, bye-laws, governmental measures, industrial action, disputes or adverse weather conditions.
  • The owner cannot be held responsible for events out of their control, such as bad weather, travel delays or breakdown of domestic equipment.
  • The owner cannot be held responsible for any injury, loss or damage to the clients personally, their belongings or their vehicles when using the accommodation, the grounds or the equipment. The use of these amenities is entirely at the clients’ own risk.
  • Please remember this is a rural area and the Owners cannot be held responsible for any indigenous animals or insects that may be present.
  • Under no circumstances shall the Owners’ liability to the Client exceed the amount paid to the Owners for the rental period.

CANCELLATION 

  • Any cancellation by the client must be in writing and the effective date of cancellation is the date the owner receives written notification.
  • If the client cancels more than eight (8) weeks prior to arrival, the client forfeits the entire booking deposit.
  • If the client cancels within eight (8) weeks of arrival or the booking is cancelled due to the client’s non-payment, the owner shall be entitled to the full cost of the holiday from the client.
  • Late arrival or early departure does not warrant any refund of rent.
  • Should the property become unavailable due to any cause beyond the owner’s control, a full refund of all monies received will be made within fourteen (14) days.

PROPERTY-SPECIFIC CONDITIONS 

  • Parking by the client is limited to two (2) vehicles. Vehicles are to be parked in the designated parking areas only (gravel area at the end of the drive). Parking on the grass is not permitted. Any illegally parked cars are subject to towing; applicable fines/towing fees are the sole responsibility of the vehicle owner.
  • The two wood burning stoves are designed to burn logs only. No other type of fuel may be burned in them, nor should anything other than logs be burned in them. They should not be left alight when vacating the property and must be fully extinguished.
  • Only dry seasoned logs suitable for wood burning stoves should be used in the wood burning stoves. Burning unseasoned logs causes the formation of tar deposits on the flue exit and could result in noxious fumes or a flue fire.
  • Under no circumstances may any of the appliances be tampered with other than what constitutes normal operation. If the client and members of the party experience problems, the Welcome Brochure should be consulted first. If this does not rectify the problem, the caretakers should be called. No repairs should be attempted by the client or any member of the party. Any damage resulting from this will be deducted from the security deposit.
  • The water in the well is NOT suitable for drinking. Please ensure that the lid is kept on the well at all times.
  • The property operates on a septic tank system. The septic tank system is very effective; however, it will clog up if improper material is flushed. The client must NOT FLUSH anything at all other than toilet paper. No feminine products should be flushed at any time. They should be disposed of in the sanitary bags provided. If it is found that anything other than toilet paper has been flushed and has clogged the septic system, the client will forfeit the entire security deposit of £300. The client must not use any household products that contain bleach, other than those labelled explicitly as safe for use with septic tanks (fosse septique). Strong bleach inhibits the correct functioning of the septic tank. Appropriate cleaning products are provided. 
  • Oils, fats and solids must not be poured down the sinks as this causes blockages that will impact on your enjoyment of the property. The cost of unblocking will be deducted from the security deposit.
  • The Sky boxes in the séjour and the kitchen are equipped with Sky viewing cards specific to those boxes. Under NO circumstances must these cards be removed from the boxes as the cards may be damaged and service may be lost.
  • Televisions, satellite receivers, DVD player, Livebox router and games console MAY NOT be disconnected and moved to other locations under any circumstances.
  • The client is asked to consider the environment and save water and energy where possible. Taps should be turned off firmly and lights/appliances that are not being used should be turned off.
  • This is an old property in the traditional French longère style. Both the lower and the upper floors have low doorways and low beams. The client is asked to be aware of this and take appropriate precautions. The owner cannot be held liable for any injury sustained as a result of this.
  • No naked flames such as candles and lanterns are permitted anywhere inside the cottage in order to comply with insurance requirements. Candles and lanterns are allowed on the two terraces but must never be left unattended and must be fully extinguished when the terraces are vacated.
  • Under no circumstances may the tables be sat upon and no piece of garden furniture may be stood on. Damage caused in this way may necessitate the purchase of a full replacement set and the cost will be deducted from your security deposit.
  • The 4 cushions for the sun loungers must always be returned to the trunk at dusk and when the terrace is vacated and must never be allowed to get damp/wet. If it is found that this has been allowed to happen, it will be necessary to replace the entire set and the cost will be deducted from the security deposit.

WRITTEN EXCEPTIONS 

Any exceptions to the above mentioned policies must be approved in writing in advance.
